Secure Database for Student Scheduling and Operational Management of an Advanced Pharmacy Practice Experience Program |

Objectives: A system was devised to meet the following objectives: improve the speed and accuracy in the rotation request and assignment process; increase efficiency in communication with preceptors and students; provide an on-line evaluation submission process for students and preceptors; facilitate day-to-day operational management of the rotation program.
Methods: An open viewing web site is linked to a secure database. Preceptors and students are provided an ID and password for access to the database. The database provides access to the rotation schedule, rotation syllabi, evaluation forms for on-line submission and contact information for students, preceptors and program faculty and staff. Prior to the beginning of the rotation year, an on-line process matches and assigns students to rotation sites using preceptor availability, student preferences and a computer-generated random selection process.
Results: The on-line request and selection process resulted in an 87% time savings over manual methods. A survey of the students showed a high level of satisfaction with the procedures and fairness of the request and assignment process. A survey of preceptors showed a high level of satisfaction with on-line communication methods. Use of the web site and database resulted in a 55% savings in the time needed for the day-to-day operational management of the program. Modifications and improvements are identified and implemented on an annual basis.
Implications: The secure database and integrated web-site significantly increased the overall efficiency of the rotation request and assignment process and the day-to-day operational management of the program. |
